Oral presentations

Paper

We will provide in the meeting room a data projector for computer presentations.

Poster

The maximum size for the posters is A0 format, portrait orientation, i.e. width ca. 84 cm and height ca. 120 cm. Well-formed posters should start with a title, authors line, affiliation statement, and email address.
Pay attention that poster abstracts will also be included in the proceedings. You will thus have to provide a camera-ready version of your poster abstract.


Proceedings

Papers as well as poster abstracts will be included the proceedings.

Please read carefully the instructions below before submitting your camera-ready version.
In particular, your document must have been checked through IEEE PDF eXpress in order to appear in IEEE eXplore.

Procedure for camera-ready papers writing and upload

To prepare and submit the camera-ready paper for inclusion in the conference proceedings, authors must perform ALL the subsequent activities:

  1. Prepare the final manuscript
  2. Prepare the electronic version of the final manuscript (camera-ready paper)
  3. Prepare the IEEE Copyright Form
  4. Confirm your attendance to the symposium and make payment
  5. Upload the camera-ready paper and the IEEE Copyright Form

Prepare the final manuscript

Prepare the final manuscript according to the guidelines given below. Please, follow them carefully to ensure inclusion of your paper in the proceedings.

REMEMBER: The camera-ready paper should not exceed six (6) pages, and camera-ready poster abstract four (4) pages.

Prepare the electronic version of the final manuscript (camera-ready paper)

IEEE PDF eXpress is a free service to IEEE conferences, allowing their authors to make IEEE Xplore-compatible PDFs (Conversion function) or to check PDFs that authors have made themselves for IEEE Xplore compatibility (PDF Check function).

Steps for submission:

  1. Create your manuscript(s)
  2. Proofread and check layout of manuscript (it is highly recommended that you do this BEFORE going to IEEE PDF eXpress.)
  3. Create IEEE PDF eXpress account
  4. Upload source file(s) for Conversion; and/or PDF(s) for Checking
  5. Use IEEE PDF eXpress to attain IEEE Xplore-compatible PDF(s). The site contains extensive instructions, resources, helpful hints, and access to technical support.
  6. Submit final, IEEE Xplore-compatible PDF(s). The deadline is 03-Nov-2006.

Prepare the IEEE Copyright Form

The IEEE Copyright Form is in the author’s kit and is also made available in various formats at IEEE Copyright Form Page.

Fill in the paper title and the names of all authors. In the "IEEE Publication Title" type "13th Symposium on Communications and Vehicular Technology in the Benelux (SCVT 2006) ".

Sign your name in the space for "Author/Authorized Agent for Joint Authors" or in the space for "Authorized Signature". Type your name below your signature.

Type the date in the "Date" field.

If applicable, the "U.S. Government Employee Certification" and the "Crown Copyright Certification" should be also filled and signed.

Scan the completed form into a PDF file.

NO PAPER WILL BE PUBLISHED WITHOUT THE SIGNED IEEE COPYRIGHT FORM.

Confirm attendance to the Symposium and make payment

No paper will be published without the author's attendance to the symposium and payment of at least one Full Member/Non-Member fees.

Note that attendance to the co-organized workshop is NOT required (but free of fee).

You can check your registration information here and, if not already done, confirm your attendance to the symposium.

Upload the camera-ready paper and the IEEE Copyright Form

Once you have confirmed participation to the symposium, you may proceed to submit your camera-ready paper and the IEEE Copyright Form.

Please login with the Login ID that was assigned to you and the password that was set by you when you created your own account on your first registration. Do not create a new account for uploading.

Please note that the camera-ready paper submission is considered complete only if you have also uploaded the corresponding copyright form. Each camera-ready paper is to be accompanied by one (1) copyright form, duly signed.

Copyright forms can be faxed (+32 4 366 29 89) or sent by e-mail.

A maximum of two (2) camera-ready documents is allowed for each registration. Authors with more than two publications (paper or poster) accepted for the conference will need to make additional registration(s).

The camera-ready paper will be published in the proceedings only if it is accompanied by the registration and payment of fees for at least one of the authors. Only Full Member/Non-Member fees will be allowed.

The Closing Date for uploading of camera-ready paper and copyright form is November 3, 2006.
